Outlook, Teams, and Mail

Connect your Microsoft calendar, mailbox, and chats so My Week, Ask, and Search can use them for a company-configured retention window (default 90 days).

What it is

Connect Outlook, Teams, and Mail reads your calendar, inbox, sent mail, and 1:1/group Teams chats through Microsoft Graph. VisionAtlas stores the text (encrypted) for a company-configured window (default 90 days; admins set this under Settings → Privacy & data) so you can:

This is not Zapier, Salesforce, or KPI actuals. Settings → Integrations still only pulls numbers into KPIs. VisionAtlas does not auto-create observations, action items, or official department weeks from mail.

Drafts, junk, and cancelled meetings are skipped. Only the connecting user can Ask or Search their items. Executives do not see other people’s mail in Ask.

How to connect

  1. Use the same work email as Microsoft Entra. Password-only users click Connect once.
  2. Open My Week or Settings and click Connect Outlook, Teams, and Mail.
  3. Microsoft may ask your IT admin to consent. If you get a permission error (403), ask IT to admin-consent Calendars.Read, Chat.Read, and Mail.Read on the VisionAtlas app. See the Entra SSO runbook.
  4. Sync runs after Connect, before Suggest draft if data is stale, and daily via ops cron.

Disconnect deletes your stored items immediately. Rows older than the company retention window are purged automatically.

Privacy

Bodies are encrypted at rest. Tenant and personal data exports include decrypted transcripts for portability. Sign-in with Microsoft does not request mailbox access; Connect uses incremental consent so login stays sign-in only. Company admins set how many days of Outlook/Teams history to keep under Settings → Privacy & data.
